Vision Check- Template builder

Overview
This new and highly versatile template builder replaces our existing Walkaround checks and a whole lot more It includes:
- A set of standard walkaround templates for HGV, PSV, LCV, and cars
- The ability to modify any of the standard checks, adding, deleting or editing questions
- Functionality to create your own Walkaround template from scratch.
- Capability to add settings to Checks including:
- Time taken
- Random photo capture
- Location of check
- Compulsory addition of mileage before uploading the check
- Options to create generic asset checks for any object that need a regular review
- Create location checks that could be used by a manager to review things like Health & Safety arrangements at specific depots
- Functionality to add a collision template that drivers can access and complete in the event of an incident
To access Vision Checks your drivers will need the Vision App:

In addition, other Vision users can also download the app signing in using their Vision username and password giving them a manager’s version which can be used to access checks:

Getting Started
You can access Checks via the side bar on Vision. Click “Audits and Inspections” and select Checks.


All your completed Checks will be listed on the landing page highlighting those requiring sign off and, where relevant whether they have passed or failed.
Updating or Creating a Check template
Check Settings
Users with the role Advanced Editor, Company Admin and Primary Contact will be able to access this section to enable or disable the use of Global (Standard) templates created by Logistics UK. You may find it useful to allow these and modify them to suit your business:

Manage Templates
In this area you will see a list of templates. You will also be able to modify these or create brand new ones from scratch:


Cloning (copying) a Template
One of the simplest ways to create a Check that suits your vehicles and drivers is to copy a global or standard template and modify it.
Click the clone icon next to the template that you would like to update:

Add a name to the template:

Select “Clone Template”. This will open a copy of the template:

Select “Template Settings”.


You can update:
- The template name
- The introduction message to include the reason for the Check and why it should be completed
- The asset type relates to how the vehicle is set up in Vision. If you have an HGV and Trailer Walkaround Check then you would want to include any vehicles with the type of HGV and Trailer.
- Asset ownership
- Asset status
Once you have updated this section open the “Settings tab”. This section allows you to set various requirements around the check:

In this section you can update:
- Minimum completion time- Set the minimum time which you expect a Check to take place. You can also set a grace period which is a maximum variance from the time you have specified for the Check. If the driver takes less time the check will still be uploaded.
- Require odometer reading on completion- Set whether you want the driver to add the mileage on completion of the Check
- Image Percentage- here you set the frequency for the number of random images you driver should take. This is to stop the Check taking place away from the vehicle.
- Enabling Pass/Fail Criteria- automatically set to on for a Walkaround Checks
- Allow population of previous results -for the same driver when completing the next check, setting this to on will prepopulate the current check with the responses from the previous check.
- Enable signature sign off- allows the user to sign off the check agreeing to the text added in
- Manage Sign off- this is defaulted on for managers to sign of those Checks with defects
Once these settings are saved, you will see an option for role permissions. A walkaround check will always default to Driver app users, but generic asset, collision or location templates might be made available to other users who will access by downloading the Vision app and logging in using their Vision credentials.

Template Builder
Once you have updated your settings you are now ready to modify your template:

The template is built in a hierarchy:
- Page being the highest level,
- Section the second highest
- Question the lowest
You can edit duplicate or delete any of these sections. Please be aware that deleting a page or as section will delete all the sections or questions within it:

Editing Page, Section or Question
Selecting Edit on the page or the section will allow you to change the name and the description of it as well as allowing you to enable or disable the location and date stamp that will be applied to each check that a driver completes:

Selecting edit on a question will allow you to change the question but not the type of question:

If you make a change to an existing question, “Save” it then click Preview to see how it will look in the App


Adding new information to an existing template
If you would like to add a page, section or question either scroll to the bottom of the page or collapse the template by clicking the arrows:

Adding a Section
A section is designed to group similar questions together, for example “Interior Checks” might be one section and “Exterior Checks” might be another. You can also create subsections for example within the Exterior Section I might create a subsection called “Lights”. In the example below, if I click the section highlighted in red it would create a subsection, whereas clicking the one highlighted in black would create a brand- new section within the page:

The blue lines on the left-hand side of the page give an indication of where the section sits. The dark blue line indicates the page (The highest level) and the other lines indicate the lower levels
Adding a question

Select “Add question”

The question types are as follows:
Text question is a question that you would like the driver to write an answer to. You can add the minimum and maximum length of the response and select whether the question is:
- Required- must be answered before you can move to the next question
- Repeatable- Allows more than one answer to a question
- Conditional- On a specific response another question will show

Text Area -is like a text question but allows you to add multiple lines. You can add the minimum and maximum length of the response and select whether the question is:
- Required- must be answered before you can move to the next question
- Repeatable- Allows more than one answer to a question
- Conditional- On a specific response another question will show

Integer Number- This is a question that needs to be answered using a whole number. You can add the minimum and maximum numbers that can be added and select whether the question is:
- Required- must be answered before you can move to the next question
- Repeatable- Allows more than one answer to a question
- Conditional- On a specific response another question will show

Decimal Number- like the integer question but looking for a response that might want a number with a decimal place. You can add the minimum and maximum numbers that can be added as well as the number of decimal places needed. You would then select whether the question is:
- Required- must be answered before you can move to the next question
- Repeatable- Allows more than one answer to a question
- Conditional- On a specific response another question will show

Date Question- The response simply needs a date adding to it. You can also add settings to which dates can be used to avoid mistakes being made such as disallowing dates in the past.
You would then select whether the question is:
- Required- must be answered before you can move to the next question
- Repeatable- Allows more than one answer to a question
- Conditional- On a specific response another question will show

Dropdown – this question allows you to set a up a question where the driver can pick one answer from the list provided. You would then select whether the question is:
- Required- must be answered before you can move to the next question
- Repeatable- Allows more than one answer to a question
- Conditional- On a specific response another question will show

Multi Dropdown- this allows the driver to select multiple options from the list provided. You would then select whether the question is:
- Required- must be answered before you can move to the next question
- Repeatable- Allows more than one answer to a question
- Conditional- On a specific response another question will show

Yes /No – simply allows the driver to answer Yes or No to a given question. You would then select whether the question is:
- Required- must be answered before you can move to the next question
- Repeatable- Allows more than one answer to a question
- Conditional- On a specific response another question will show

Media Capture- this question should be used if you would like picture or video proof of something happening during the check. You can choose how many pictures or videos you will allow the driver to upload. You would then select whether the question is:
- Required- must be answered before you can move to the next question
- Repeatable- Allows more than one answer to a question
- Conditional- On a specific response another question will show

Defect – This question is used as a standard question for driver walkarounds. It is a conditional question when the driver responds “Yes” to the question. An option is given to add more information about the problem raised including both text and media. When answering “No” the driver moves on to the next question. You can set the question to have as many picture uploads as you feel is appropriate.
The reporting category is added to ensure that any defects raised fall into the correct reporting category. You would then select whether the question is:
- Required- must be answered before you can move to the next question
- Repeatable- Allows more than one answer to a question
- Conditional- On a specific response another question will show

Repeatable Setting
This setting can be added to the following question types
- Text
- Text Area
- Integer Number
- Decimal Number
- Date
- Dropdown
- Multi select
An example of when this setting may be added to a question is for something like measuring tyre tread depths (Decimal Number Question).
The response to the question might require measurement on the inside and outside edges as well as the middle.
Create the question:

Switch “Repeatable” to on and choose how many repeated answers you would like (In this example there would be 3):

Conditional Setting
A conditional answer can only be added to:
- Yes/ No Question.
- Dropdown question
- Multi Select question
The setting is designed to allow the respondent to add more information based on how they respond to the Yes/No question. An example would be:
Do you have everything you need to carry out your work today?

Please note- you do not apply the conditional setting when creating the initial question
Add a new question in response to the driver saying no to the question above:

Turn Conditional on and select the question that the response relates to:

And then set which response would create the additional question:


Moving your Question
Once you have added the question you can drag and drop the question into the section or area you would like it to be.
Click and hold the icon shown below:

Drag the question until you see the place you would want it to go:

Once you have updated the template, select the “Preview” button to ensure it works as you expect:

Once you are happy that the template works as you would like, select “Publish” at the top of the page which will make the check available to drivers on the asset groups included in the template:

Creating a New Check
To create a new check, Select Manage Templates and then select New Template:

Start by adding the template name and description and category:


Then follow the wizard adding in the details as described in the previous section until you have completed the set up.
Once created you will start to build your template. First edit the page name by clicking the edit button highlighted below:


You can add either a section or a question. A section will group together questions around a similar area

Once you have created your section click “Save” and then add questions to it:

Save and continue checking the preview as you go:

Once you are happy that the template works as you would like, select “Publish” at the top of the page which will make the check available to drivers on the asset groups included in the template:
